    Managing 170.000 employees requires streamlined HR processes

    Mercedes-Benz is one of the world's most successful automotive companies. Mercedes-Benz is headquartered in Germany (Stuttgart) with a revenue of €145,6 billion. Being an international company with 170.000 employees worldwide requires streamlined Human Resources (HR) processes and an up-to-date HR system to manage various requests and tasks across different geographical locations. However, Mercedes-Benz realized that up-to-date technologies are crucial to streamline processes and improve User-Experience. Therefore, Mercedes-Benz decided to start investing in a new centralized HR solution that could increase transparency, standardization, and efficiency for HR Services Delivery (HRSD) throughout the organization.

    Familiarity with ServiceNow drove the decision

    Mercedes-Benz was already using ServiceNow as its primary tool for IT service management and IT operation management. Thus, utilizing ServiceNow for HR Service Delivery would be beneficial, as they could profit from the unified platform and an interface already familiar to the employees. Therefore, Mercedes-Benz decided to utilize ServiceNow as their new HR-platform. 

    More than 500 HR services

    Mercedes-Benz began their new HR journey in close collaboration with The Cloud People. First, the project team, consisting of consultants from The Cloud People and employees from Mercedes-Benz, had to shut down the existing HR system and bring more than 500 HR services to ServiceNow. Different integrations such as the Archiving system, the HR Master Data application, and the recruiting platform were part of the transformation. Additionally, the project team worked closely to:

    • Design a streamlined and efficient HR service delivery framework within ServiceNow
    • Design and implement consistent, easy-to-follow processes for hiring and internal transfers
    • Centralize HR processes, making it easier to manage and integrate with third-party HR software
    • Design and implement new workflows to handle HR queries more effectively and transparently for the caller
    • Implement integrations to connect ServiceNow with external job advertisement platforms and hiring tools, streamlining the recruitment process
    • Guide HR teams on adapting to new tools and practices for improved efficiency
    • Build up a central knowledge base to increase case deflection.

    Today, Mercedes-Benz has an up-to-date HR platform on the ServiceNow platform that supports the entire organization and respective employees to spend their time on important core responsibilities instead of spending time on redundant and administrative tasks. The new HR solution has provided various benefits to the organization:

    Harmonized Processes: Streamlined and unified HR workflows for seamless collaboration across departments which cuts down inter-departmental processing times.

    Enhanced Integrations: Integrated with existing payroll, finance, and employee record systems, eliminating redundant data entry and decreasing error rates while providing a single source of truth for HR data.

    Improved Employee Experience: Created a more intuitive, self-service HR portal with lifecycle-based service options, reducing query reassignments, helping to increase satisfaction across HR touchpoints.

    Adaptability for Policy Changes: Leveraging the platform’s agility allowed HR teams to adapt workflows to policy changes across locations within days.
